Despite our constant use of the Internet to create e-records by using Web sites, I am still amazed at how many ways the records creation process is subverted or undermined. In the paper world a record is a clear static representation of a transaction and good documentation of an event that has occurred
If, for instance, an invoice arrives in German, solutions created by global capture services can recognize that it’s an invoice, convert it to a digital record and automatically populate it into ERP system in any language
His letters and journals provide insights into the trials and tribulations of an adventurer in 19th century Alaska. Important records that provide depth to a state's and a country's history

In my last blog post I talked about the collapse of an offsite record storage location in the DC suburbs. Even though tragedies like this happen, it does not mean that electronic records is the route to go to have the most secure storage for records. For physical records it may take decades for a building to decay and no longer be a safe location for records
In this article, we are shown that there is what appears to be a major discrepancy and inconsistency in the records management policies of New Hampshire government agencies in relation to email and in some cases other records when an employee leaves their position with the state. RSA 5:37, which governs "archives and records management," mandates that "all records" made or received by public officials, or that come under their authority or possession, "are the property of the state and shall not be mutilated, destroyed, transferred, removed or otherwise damaged or disposed of, in whole or in part, except as provided by law."
A short entry for this week: As a continuation of the “going digital” discussion – it is advantageous to work toward a scenario in which not only internal business processes are converted to digital record-keeping environments whenever possible, but in which information received by the organization from third parties (service providers, partners, customers) - is received digitally as well. This typically requires that contracts with third parties service providers stipulate the provision of trustworthy digital rather than hard-copy records – unless there is a specific requirement to receive and/or retain hard copy. The receipt of electronic records – in lieu of paper - enables the quick incorporation of records received from outside parties into an organization’s digital records system, without having to first digitize received paper. I’ve seen cases where one company creates hard-copy records from their electronic source data and provides that hard-copy to another party
One of the concerns often expressed about electronic records is that the "Delete" key...doesn't. Generally speaking, when an electronic record, document, or any type of information object is deleted, pointers to that information object are erased from one or more systems designed to locate it
A common topic of discussion in my classes and at various speaking engagements is how digital patient records are here and there is no place to hide from it. The mandate came early from President Obama and was soon followed by another mandate regarding the reporting of information breaches with respect to patient records. While these are now in play, several entities moved quickly to provide guidelines on how to accomplish this task of managing patient records more efficiently and securely which introduced us to the term meaningful use and that healthcare providers must be able to prove meaningful use of technology in order to comply and potentially qualify for available funding to supplement costs
Although only 34% of organizations are currently using add-on products for BPM (Business Process Management), workflow, classification, security, back-up and records archive, this figure is set to rise to over 75%, according to the stated intentions. Records management in particular is highlighted in the survey, with many organizations seeing the need to add or integrate a more robust repository in order to meet their compliance requirements
