Digital signature systems from my company and others support these standards for both signing XML data and verifying a signed XML data file. Using these standards to sign XML data produces a single file that includes both the data and the digital signature or signatures. Since the signed XML data file is still an XML file, its data can easily be read by software applications and used for further processing, reporting, etc
One can save the HTML, XML and associated files such as GIF or JPEG graphics, into a local disk directory as Complete Web Page( *.html, *.htm) or Web Page Archive, single file (*.mht) or even a text file (which is almost totally useless as a visually accurate rendition of a record)
ISO 19005, Document management – Electronic document file format for long-term preservation which is a three part standard specifying a file format based on PDF, Portable Document Format, that is technology neutral

Most home entrepreneurs start working out of a small space, perhaps a spare bedroom, but quickly run out of room when paper boxes filled with invoices, incoming bills, accounting files, receipts, and client records take over. We have all seen those offices with bludgeoning files everywhere and we wonder how they will ever be able to find anything when a client calls and needs to see a document immediately or when the elusive receipt is needed to complete tax forms
Plus, documents that are printed to be signed are often copied, creating more paper and more paper to be handled, filed, etc. As Douglas Adams described in The Hitchhiker’s Guide to the Galaxy , paper documents can easily get lost: [The documents were] signed in triplicate, sent in, sent back, queried, lost, found, subjected to public inquiry, lost again&hellip

When combined with good governance and unalterable file formats, you can easily met the guidelines for legality. 2
That could be content that’s very old and hasn’t been accessed within a defined period of time, or of a file type that indicates it’s of little or no utility (e.g. TEMP files, data dumps, install files), or content that shouldn’t be on a network, based on corporate policy (e.g. iTunes)
Include in your thinking structured transactional data, semi-structured logs and files, and text-based or rich media content. 4
They still get 50% of their vendor invoices on paper but also have to deal with email invoices, PDF downloads as well as Word, image, Excel and plain data files. Chasing approval using pieces of paper is hard enough, she said, but multiple formats make the problem more challenging than ever
Second, content storage and search have also migrated on-line from the filing cabinet. And the lower costs of computing coupled with the rise of SharePoint and other ECM systems, as well as the expertise of AIIM members, have all played important parts in this digital transformation
