    Andy,

    Thank you for a excellent presentation in bringing awareness as to the value of reducing the footprint.  So I'm interested if there are documents available that talk about the best practices of reducing footprints.  I think having access to documentation concerning best practices may be a key in helping IT to push a policy of footprint reduction in the organization along with of course the necessary ROI data.

    For those interested, AIIM has recently published a white paper entitled "Valuable Content or ROT: Who Decides?" which is very relevant for our discussion:

    Key points from the white paper:

    "Key AIIM Survey Findings

    - Electronic records are "increasing rapidly" in 68% of organizations surveyed. While 32% reported a decrease in their paper records, not one respondent reported a decrease in electronic records.
    - On average, respondents estimate that only 42% of their electronically stored information is useful to the business. 58% is therefore ROT.

    - In Only 12% of respondents feel confident that they store only what they need to store. Only 37% are confident that they can identify what is safe to delete.

    - The biggest benefit given from good information governance is reduction in storage costs (cited by 55%), followed by exploiting and sharing knowledge resources (50%), and faster response to events and enquiries (47%).


    - The biggest risk from failure of information governance is excess litigation costs or damages (41%). Next is loss of intellectual property or confidential information (35%), then loss of customer confidence or bad publicity- particularly from data breaches or loss of personal data (31%).

    - Only 10% have a full set of IG policies in place that are respected and enforced"

    Do we recognize these findings? And if so, what do your organisations do to address them?

    Everyone seems to wrestle with a good actionable definition of Redundant, Obsolete and Trivial (ROT).

    One rule we have found helpful is to ID files that are obviously associated with an application.  Examples would be ".dll", or ".exe".  Since company policy is to not allow applications to run on shared network drives (they are supposed to be for storage of information only) we feel justified to label these "ROT" and then take steps toward deletion; notify owner etc. 

    I'd be interested to hear what other "ROT rules" people have come up with?

    Andy, thank you for hosting, it was a good discussion. As a vendor of content, we are always concerned about our customers content needs. Version controls and content re-use are very important in managing the footprint.
