  • 1.  Records Retention for Structured Information Management Systems

    Dear All,

    Can anyone share best practices and lessons learned for developing records retention plans for structured information management systems?

    I am currently undertaking an activity of applying records retention to Oil and Gas Operations systems such as Tieto Energy Components and Integraph Smartplant Suite.

    Keen to hear about records management experiences outside of the traditional unstructured document management systems space e.g. processes and procedures for structured information retention.

    Hi Andy,

    at Shell records in structured systems are covered via the so called "RIA" - Records In Applications concept. In a specific records file plan, for example HR, a record type may be linked to a database - in this case the employee file. So that record type is not a PDF / Word / etc but a query or view in a database that is defined. RIA then applies Records Management controls to those systems to ensure records can be found, traced, audited etc etc.

    I don't know if others have the same approach, but this seems to work for us.
