Who is responsible for information in the new data world?

I recently sat down with Graeme Austin of Crown Records Management and we talked about how organizations are managing their data, and the personal responsibility for doing so. Here’s what Graeme had to say:

“Just 20 years ago, companies were focusing on how to introduce computer systems into their businesses, Nowadays we live in an ‘information age’ where technology is rapidly evolving and data is constantly increasing.

“One of the main problems companies now face is not the decision to hold information digitally, but how to manage their high volumes of incoming and outgoing data.

“One of the fundamental requirements to manage this is for all staff no matter their position- to understand the part they play in information governance. This means their role, responsibilities and what the rules are for data use. In Short, it must be clear who owns the information throughout its life cycle.

“In large organisations the responsibility may lie with a number of people depending on factors such as the company, location and the different kinds of information it holds.

“Beyond that, industry best practice focuses around ongoing review and assessment of information needs, as well as effective deployment of information governance policies and procedures.

“For all this to work, successful companies have buy-in from senior management but they ensure that all areas of the business are kept up-to-date. This means their role, responsibilities and what the rules are for data uses are included not just in training schedules but in working practice.”
