Assessing Compliance of Document Management Systems

Organizations need to create, capture, and store business-related information in a safe and secure fashion. Additionally, organizations are recognizing the responsibility to ensure their business records are being created, captured and stored in a secure and trusted manner so they are reliable.

In providing safe and secure storage and information access, organizations need a mechanism to determine whether the solution they have meets the legal, technical and ethical obligations of the organization. The claims of the software and hardware providers need to be verified. Standardized solutions are easily verified. Organizations need to determine whether the system is functioning as designed and expected.

ECM Standards (http://www.ecmstandards.org), a part of the 3D PDF Consortium (http://www.3DPdfconsortium.org), is continuing the development of an assessment tool to help organizations to assess whether their electronically stored information is maintained in a reliable and trusted system. As a part of the assessment, the Trustworthy Document Management Integrity and Assessment committee (http://3dpdfconsortium.org/trustworthy-document-management-integrity-and-assessment-technologies/) will identify the factors that are considered when evaluating the compliance of the technology with relevant standards. The committee will also identify activities and operations an organization is to follow to ensure their electronic information is create, captured, and maintained in a reliable and trusted manner.

We need to have practitioners from all industries to help us develop best practices, white papers and other tools to help organizations assess the compliance of their systems.
